How to search in Outlook
Emails in your Inbox are inefficient. So, you archive old Emails. But once you've archived everything, you need to learn to query well.
Most people browse folders. It is slow, and it only works if you filed the thing where you now think you filed it.
Search instead, with operators, as you will remember regularly what the context was:
• from: — everything a person sent you. `from:anna` narrows a year of mail to a conversation.
• to: — everything you sent them. Useful when you need to prove what you promised and when.
• hasattachments:yes — combined with either of the above, this finds the file you know exists and cannot name.
They combine. `from:anna hasattachments:yes` is usually a two-second route to the model somebody sent you in March.
Two more worth knowing once these are automatic: `subject:` for a phrase in the subject line only, and `received:last week` for a date window.
And set up Quick Steps for filing, bound to Ctrl+Shift+1 through 9. Filing becomes one keystroke, which is what makes archiving everything sustainable. Why not sort? Dragging and dropping Emails, costs valuable seconds. 5-10 seconds per email (vs. 1 second on Ctrl+Shift+1-5), 50 Emails a day = 5 Minutes. Small but incremental. Additionally, searching manually to the folder will take more minutes, while the search bar gets you there immediately. More on that in another post.
If you have Copilot available or an integration with Claude or another Model - the whole topic will of course be much easier as you can use your AI to search your inbox.
Retrieval beats organisation. Learn three operators and stop maintaining a folder tree.
